- VSmart software has two components: a small program that runs silently behind your practice management software (PiMS), and a web-based dashboard and control panel where you can manage settings and view feedback and online review results.
- VSmart works by automatically detecting closed invoices as they occur, determining the reason for the client’s visit based upon factors like service codes and client create date, and sends a personalized Thank You email 24 hours after the visit.
- The Thank You email contains an invitation to provide feedback, designed to be relevant to that particular client’s visit. For example, a client who was in for a grooming visit would be asked an entirely different set of questions than a client would had their pet in for a spay. There is no limit to the number of surveys VSmart can automatically send.
- Before creating your surveys, it is important to understand that each client will receive only one survey after a visit. For that reason, you will want to determine a priority for each set of survey questions. For example, if a client boards their pet overnight, and the pet receives a dental prophy the next morning, is it more important to follow up that visit with questions about their boarding experience or about the pet’s recovery and recommended dental care.
- A New Client Survey will generally have the highest priority, and a Catch-All Survey, not tied to a reason for visit, will have the lowest send priority. Post-boarding, -grooming, -anesthetic, -emergency, -referral, etc. surveys will fall somewhere between, based on your preference.
- When clients answer the survey questions, VSmart can immediately alert you to a particular response. Perhaps the client would like more information about your wellness program, or perhaps they were not completely satisfied with their experience in your practice. For any answer choice, you can receive an immediate email or text message enabling you to quickly meet clients’ needs. Alerts can be set for multiple staff members.
- Finally, if a client answers all survey questions in a favorable manner, indicating that they would be a likely promoter of your practice, VSmart will ask the client to share their experience on major online review sites like Google+, Yelp, Yellowpages.com, and Yahoo! Local. Settings to determine a “promoter” are easily adjustable.
Now that you have signed up for VSmart, you can login to the web portal at https://vsmart.vsurv.com/ using your username and password. If you forget your password, simply click the Forgot Password link, and your password will be emailed to you.
